1. Account Information
When you register for a WeNotely account, we collect:
- Email Address: Used for account login, password reset, and important notifications
- Password: Encrypted and stored securely; we cannot view your plaintext password
2. Meeting Recordings and Transcription Data
- Audio Files:
- ✅ Completely Local Storage: Audio files are only saved on your Mac device
- ✅ Not Uploaded to Cloud: We do not upload audio files to any server
- ✅ Encrypted Protection: Local audio storage is protected using industry-standard encryption algorithms
- Transcription Text:
- ✅ Local Processing: Speech-to-text is processed entirely on your device using local AI models
- ✅ Not Uploaded to Cloud: Transcription does not require network connection; data never leaves your device
- ✅ Encrypted Storage: Transcription text is encrypted and stored locally
3. AI Summary Data
When you actively request the AI Smart Summary feature:
- Data Sent: Only transcription text is sent (not audio files) to third-party AI service providers
- Transmission Security: Transmitted via HTTPS encrypted connection
- Data Retention: Data retention policies may vary depending on the third-party AI service provider's privacy policy. We select providers that do not retain data long-term, but we cannot fully control third-party behavior
- User Control: You can choose not to use the AI summary feature
Important Notice: By using the AI summary feature, you agree to have your transcription text sent to third-party service providers for processing. We recommend not including highly sensitive or confidential information in content that requires summarization.
4. Usage Statistics and Diagnostic Information
To improve product quality, we may collect:
- Crash Reports: Anonymous crash logs without personal information
- Performance Data: Anonymous statistics such as app launch time and feature usage frequency
- Device Information: macOS version, device model (for compatibility optimization)
Note: All statistical data is anonymous and not linked to your personal identity.
5. Subscription and Payment Information
- Payment Processing: Handled through Apple App Store and RevenueCat
- We Do Not Collect: Credit card numbers, payment passwords, or other sensitive payment information
- Subscription Status: We only store your subscription plan and expiration date
6. Cookies and Tracking Technologies
macOS Application:
- The WeNotely macOS app does not use cookies
- No cross-app tracking

Local Storage
- Location: All recordings and transcription data are stored on your Mac device
- Path: Application's local data directory (managed by macOS system)

- Key Management: Encryption keys are stored in macOS Keychain with system-level protection
Cloud Storage
We use Supabase (based on PostgreSQL) to store:
- Account information (email)
- Meeting metadata (title, date, duration, excluding recordings and transcription content)
- Subscription and quota information
- AI summary results (if you choose to save them)
Security Measures:
- ✅ Transmission Encryption: All network communications use HTTPS/TLS 1.3
- ✅ Database Encryption: Database encryption at rest
- ✅ Access Control: Row-Level Security (RLS) policies ensure users can only access their own data
- ✅ Regular Backups: Automatic backups to prevent data loss
Data Retention
- Meeting Records: Retained until you manually delete them
- Crash Logs: Anonymous crash logs (without personal information) automatically deleted after 90 days
- Deleted Data: Complete removal from all systems (including backups) may take up to 90 days
Data Sharing and Disclosure
